Operations Specialist (Administrative Assistant) Needed in Santa Maria, CA 93454

Pay Range:$22 - $25/hour

JOB SUMMARY

You will be accountable for accurate completion of the audit process and establish a good understanding of the complex industry. As the main point of contact, Audit Coordinators act on behalf of the company, answering questions, providing product or service information, and handling any complaints or positive feedback. You may deal with customers face to face, by phone, or through electronic communication, but in all cases, you serve as the voice of the company. This position requires employees to work onsite.

Qualifications

? Administrative related degree or at a minimum a High School diploma

? Two or three years of administrative-level support experience

? Excellent verbal and written communication skills

? Ability to efficiently prioritize multiple priorities

? Ability to work well independently and within a team structure

? Easily adaptable to fast-paced work environment

? Proficient in Microsoft Office (Excel, Word, PowerPoint) and/or Google Workspace (Google Sheets, Docs,

Slide)

JOB DESCRIPTION

? Build expert and dynamic knowledge of company products and services

? Customer retention: interpersonal skills, excellent customer service, empathy, ability to solve problems, ability

to handle rejection and ability to meet retention goals

? Serve as day-to-day contact for assigned accounts, building trust and rapport while identifying areas of

opportunity, highlighting best practices, and documenting them

? Identify opportunities to drive sales and revenue with the company's existing product suite, and seize

opportunities to upsell services whenever possible

? Provide clients the necessary documents per audit scheme and review applications to ensure required

information is accurate and archived accordingly

? Respond quickly, professionally, and accurately to all customer inquiries

? Assist with incoming calls, email requests, and guide clients and auditors through the scheduling process.

Facilitate communication with clients, auditors, and colleagues

? Build positive relationships by going above and beyond with customer service, ensuring all questions,

cancellations and confirmations are addressed appropriately

? Coordinate audits conducted by auditors, prepare client and vendor contract for services

? Ability to meet yearly audit quota and complete billing process in a timely matter

? Maintaining audit documents organized for all third-party audits

? Data entry into scheme platform and documents

? Communicate routinely with the manager regarding audit progress, issues, other departmental work timelines

and priorities

? Recommend improvements to processes for improved company efficiency of day-to-day operations

? Promote positive internal and external communication and positive teamwork

? Participate in the development and updating of departments SOPs
