POSITION SUMMARY
This role will help facilitate the contract and order entry process by assisting the sales team navigate through stages of a project lifecycle: PO/contract review/approval, supply chain/subcontractor support, order entry into the ERP system. It will be driving and facilitating contract and compliance reviews (establishing workflows to increase throughput efficiency on these reviews), establishing and documenting KPI performance across required support functions, and assisting in management/record keeping of Master Service Agreements. This role will be the liaison for sales to all compliance related items, and it is integral to improving the overall efficiency of contract management and order entry.
RESPONSIBILITIES
- Contract Review and Management
- Develop and implement workflows to drive more effective and timely contract reviews. Document these processes and train the internal stakeholders (i.e.sales, business admins etc) on them
- Draft, negotiate, and manage a high volume of service contracts (including MSA's, Vendor/Subcontractor agreements, and other various agreements required for the business)
- Perform initial triage on contract submittals to drive additional review from the required internal stakeholders
- Perform contract reviews on small, flow orders to significantly improve flow order turnaround times
- Facilitate Master Service Contracts with customers
- Create workflows to manage this database effectively allowing for timely renewal of expiring agreements
- Coordinate with sales initiating these Master Service Agreements
- Facilitate the overall pipeline management regarding status for contracts in review. Provide up to date information on status and own the process from receipt of contract for review to the initiation of order entry
- Represent the business' interests in the development of future systems developed by shared services that support service contract review and processing (Business Subject Matter Expert on these systems)

- Develop relationships with internal stakeholders to improve timeline from contract receipt to order entry. Internal stakeholders include:
- Sales
- Legal
- Credit
- Risk Management
- Compliance
- Cyber-security

- Work closely with these internal stakeholders to create and implement ideas driving continuous improvement
- Create workflows, systems, and processes to expedite overall turnaround times
- Build internal relationships with the above stakeholders to create a positive work environment
- Communication
- Provide timely communication to management regarding challenges associated with the contract management/order entry process
- Create and provide training material to the necessary sales and shared services support staff around contract management/order entry workflows
- Work with executive management to determine key KPI metrics, provide periodic documentation on performance of these KPI's, and communicate challenges and improvement opportunities from these KPI's
- Work as necessary to provide written and phone communication with external customers as required to communicate contractual roadblocks and drive towards ultimate resolution

Education and/or Experience • Bachelor's degree required, Paralegal certification is a plus
• 5+ years of sales contract review experience required with some negotiation experience preferred
• Ability to work collaboratively in a team environment and communicate effectively with internal and external stakeholders
• Proficiency in Microsoft Office Suite with experience using tools that track contract negotiation lifecycle preferred (such as Smartsheet, Sharepoint, PowerBI, etc.)
• Strong attention to detail, with excellent organizational and time management skills required
• Process oriented individual with a continuous improvement mindset
• Ability to travel 10-25%
