Job Summary

The Dual Enrollment Program Specialist will provide comprehensive administrative support to the Dual Enrollment Department. This role involves assisting with day-to-day operations, managing records, purchases, and orders; assisting with marketing flyers and maintaining web pages; working with students, and high school administrators; and supporting communication and coordination efforts to ensure the efficient functioning of the dual enrollment program.

Responsibilities

  • Provides support to ensure goals and objectives of the assigned program are accomplished in accordance with compliance with CAC policies and procedures and federal/state laws and regulations related to the assigned area.
    • Processing Dual Registrations along with troubleshooting, incomplete or registrations with errors.
    • Coordinate with high school dual enrollment faculty to ensure complete rosters.
    • Follow up with high school students and counselors to collect additional documents as needed; Assists students with uploading student documents.
    • Monitoring and responding to dual enrollment email
    • Main point of contact for daily phone calls and correspondence regarding Dual Enrollment Programs
    • Troubleshooting schedule changes and implications for high school program students
    • Monitor and update the high school dual enrollment contact list and superintendent list
    • Assist in the development and tracking of Dual Enrollment IGAs and Amendments to class lists
    • Sends reminders to the high school contact list on deadlines and registration information, including monthly log in reminders to dual enrollment faculty
    • Assist Dual Enrollment Academic Liaison in monitoring attendance taking and grade entering and sending reminders to dual enrollment faculty to complete college processes.
    • Assist in Dual Enrollment Handbook updates and distribution
    • Develop handouts and guides from the Handbook information
    • During the semester, follow up with high school program students on completing residency
    • Assist in coordinating dual enrollment events, orientations, and workshops.
    • Provide administrative support to the Assistant Director of High School Programs in student recruitment and enrollment activities.
    • Assist in preparing and distributing marketing materials to promote dual enrollment programs.
    • Collaborate with other administrative staff to ensure the smooth operation of the dual enrollment office.
    • Assist in data collection and preparation of reports related to dual enrollment activities.
    • Participates in committee assignments and the recruitment and retention of students.
    • Performs other duties commensurate with functions and level of position or as assigned.
    Qualifications

    EDUCATION: An associate degree, a bachelor's degree is preferred.

    EXPERIENCE: One (1) year of related experience

    SPECIAL POSITION CONDITIONS: Bilingual Spanish/English desired.

    REPORTING RELATIONSHIP: Assistant Director of High School Programs

    SUPERVISORY RESPONSIBILITY: None

  • Knowledge of specific processes, policies, and procedures of office management and workflow procedures to include effective management of workload.
  • Skill in gathering, compiling, and presenting information in oral and/or written form.
  • Skill in prioritizing and organizing work.
  • Skill in Microsoft Office suite using various word processing, spreadsheet, database, presentation, and integrated information software, systems, and associated hardware, e.g., personal computers.
  • Skill in a Student Information System or other computer software used to provide records for students or customers.
  • Skill in delivering customer service.
  • Skill in communicating, both verbally and in writing.
  • Skill in interacting with culturally diverse populations, College administrators, faculty, staff, students, and the public.
  • Skill in creating, composing, and editing written materials.
  • Ability to work both independently and as a member of a team in accomplishing tasks.
  • Ability to analyze situations, develop solutions, and make independent decisions based on established guidelines.
  • Previous experience in administrative support or office management.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to handle sensitive information with confidentiality.
  • Knowledge of media placement and graphic design concepts, principles and practices of marketing, basic photography, printing and placement of photographs for publishing, and media presentations.
  • PHYSICAL REQUIREMENTS:
    The work is sedentary work. The employee is occasionally required to exert up to 10 pounds of force to move objects. Additionally, the following physical abilities are required:grasping, hearing voices, and distinguishing among sounds, mental acuity, reaching, repetitive motion, speaking, talking, visual acuity in data/observations, and walking. Duties performed may cause light fatigue of the eyes, fingers, or other faculties as a result of repetitive motion.

    WORKING CONDITIONS:
    Work is performed in a dynamic environment that requires sensitivity to change and responsiveness to changing goals, priorities, and needs. Job is performed in general office or comparable working area with many and frequent distractions such as noise and interruptions or in congested and occasionally confined work areas with exposure to disagreeable elements.

This is a pension system that requires mandatory contributions from the employee with a matching contribution from the employer. The 24-25 fiscal year contribution rate is 12.27%.
