Slalom's Columbus office is seeking a top-notch Senior Specialist to join our Office Operations Team. We are looking for an individual who exudes adaptability, foresight, creativity, and a passion for delivering exceptional customer service. This individual will have a demonstrated commitment to excellence, collaboration, attention-to-detail, creative problem solving, and big picture thinking. Our ideal candidate will be resourceful, tech savvy, and have outstanding relationship building and interpersonal communication skills.
What You'll Do
Office Administration
- Primary office point of contact, responsible for answering / responding to front door and being the face of Slalom as people enter the office.
- Responsible for the organization and cleanliness of the office space including purchasing and restocking office supplies, kitchen supplies, snacks, beverages, etc.
- Liaison between Slalom and property management which includes submitting maintenance requests, disseminating building information, coordinating building conference room rentals, and submitting building access requests.
- Provide seamless support to market executive(s) including, but not limited to, complex calendaring, scheduling, travel, and expense reports
Event Support
- Support internal office meetings and events in the office, including but not limited to scheduling, room preparation, food/beverage orders, supplies, set up, and teardown.
- Support planning and execution of external and larger, office-wide events, including but not limited to set up/teardown, venue sourcing, contracting, food & beverage, communications, swag, design and collateral, registration, A/V, etc.
- Partner with our Employee Resource Groups and programs to create impactful team events that promote engagement and our culture.
Employee Experience + Culture
- Coordinate with People Leaders to ensure employee birthdays, anniversaries, and other life events are recognized and celebrated (including communications).
- Coordinate with People Leaders when teammates are experiencing hardships or need extra support (order flowers, send a food delivery gift card, etc.).
Market Communications
- Maintain shared Operations inboxes and respond/communicate in a timely manner to all messages and inquiries.
- Coordinate content for market newsletter.
- Support content development and organization of market SharePoint site.
- Communicate important market updates and announcements through appropriate channels.
New Hire Onboarding
- Coordinate with Talent Acquisition, People Leaders, IT, and Welcome Program to support new hires.
- Support New Hire Orientation course, including scheduling and updating presentations.
- Ensure new hires are connected to necessary systems, events, and distribution lists.
- Prepare and ship new hire welcome kit and facilitate office tours.
What You'll Bring
- Minimum 3 years of experience in a fast-paced work environment, with experience in events and office operations.
- Excellent organizational and time management skills.
- Professional communicator with strong oral and written communication skills.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, etc.) and Zoom and Slack.
- Scrupulous attention to detail, able to develop and maintain highly organized work environment
- Ability to multi-task and handle multiple projects simultaneously, while remaining flexible and working with a sense of urgency without sacrificing quality or accuracy
- Sees and acts as though no task is "too small" and completes tasks with a positive, professional demeanor
- Ability to lift and move 25 pounds.
