Summary of Position

With direction from the Sr. Manager Strategic Events, the Strategic Events Associate will be responsible for the planning and execution of all national strategic events and activities, while leading all aspects of the regional meeting program, for the Surgery business. This includes but is not limited to national level conferences, regional meetings, and is in addition to assisting with the planning and execution of our National Sales Meeting.

Responsibilities
  • Responsible for planning, managing, and implementing all national level meetings for the Surgery business
  • Coordinate the regional meeting program, providing mentorship when needed and continuous improvement of tracking and reporting
  • Lead collaboration among conference collaborators across platforms to develop strategic event strategies annually (identify new opportunities, low-performing events, etc.)
  • Participate and/or lead cross-BU and Region collaboration as needed when shows and strategies include multiple business units or regions.
  • Provide annual updates and recommendations to conference calendar and budgets, aligning across the business
  • Ensure meeting costs are in line with budget and adjust spend as needed
  • Collaborate across platforms to build strategic goals per show and improve creative abilities to accomplish goals
  • Work with design team on graphics for meetings, email campaigns, social media posts, etc.
  • Ensure any external facing material is MLR approved through Veeva
  • Handle streamlined communications from beginning to end of convention including pre-planning emails, kickoff calls, planning calls, briefing book, pre-con meeting, post show debrief, post show report, as well as communication to the field, pre and post meeting notices, etc.
  • Act as a liaison with Medical Affairs (Surgeon Education, MSLs) when conferences and meetings incorporate an educational aspect (i.e. offsite dinner, lunch and learn, roundtable etc.)
  • Act as a liaison between in-booth speakers and PMs / the speakers themselves
  • Handle society and vendor relationships, negotiate contracts, and continuously elevate the BD brand
  • Process payment for and allocations of meetings Citi cards and through PO process as needed
  • Special projects upon request


Qualifications
  • Bachelor's Degree
  • Minimum of 2 years tradeshow or event experience
  • Budget tracking and expensing experience
  • Event planning experience required using strategic focus, cross-functional collaboration, and streamlined communication skills


Knowledge
  • Knowledge of JDE and the vouchering system is an asset
  • Veeva, or formal approval process, knowledge is an asset

  • Ability to work as a strong team contributor across a multitude of teams and be key communicator to keep a tight loop

Travel
  • Ability to travel up to 25% of time
