Job Summary

Department-Specific Responsibilities

  • Provides logistical, administrative and program support to the Kelley Student Life Team, as well as the Faculty Chair, Executive Director, and Associate Director of the Undergraduate Program.
  • Assists on a variety of tasks and initiatives essential to the daily operations, planning, and implementation of student life initiatives, and works directly with students, staff, faculty, and other constituencies to help serve the overall goals of the department.
  • Support the following areas: event planning/management (including catering, vendor relationships, and purchasing/ordering), departmental communication channels (including group email account and phone call management), financial/budget operations support, coordination with campus partners, and direct assistance to student leaders and professional staff programming team.
  • May supervise some student and/or part-time employees.
  • Advises and directs student organization leaders regarding event planning, purchasing, ordering, travel reimbursement, and other logistics of student organization business.
  • Manages logistics of large-scale events for the Student Life Team, with specific emphasis on large-scale Induction and Senior Sendoff graduation events.
  • Manages student-facing marketing and communication channels, including weekly newsletters, digital signage across the academic building, and a master event calendar, necessitating editorial decision-making and maintenance of brand standards, with an eye for detail and accuracy in highly visible platforms.
  • Serves as the go-to administrative coordinator for senior program leadership, assisting with high-level communication for critical inquiries from families, alumni, and students.
  • Serves as liaison with other departments and external entities; coordinates activities, exchanges information, may research and resolve complex issues.
  • Interfaces directly with faculty, staff, and student teams participating in regional, national, and international case competitions, with continual responsibilities for upwards of 6-10 different case teams per year.
General Responsibilities
  • Develops and implements programs and initiatives that touch on various/multiple student-related goals, such as enhancing and reinforcing academic engagement and experiential learning; increasing student engagement, wellness, and involvement; fostering learning, inclusion, and development; supporting students in crisis and adversity; and improving the student campus experience.
  • Interfaces directly with students by attending student programming events, advising student organization leaders, meeting 1-on-1 to discuss areas of concern on campus, and gathering satisfaction feedback from student participants to implement into future student services initiatives and objectives.
  • Collaborates with staff in own department and other departments, as well as academic and campus leaders, on shared student services goals, often coordinating funding to sponsor student programs and initiatives.
  • Projects outcomes for services offered at the program, department/division, or campus level. Measures and evaluates effectiveness of student services against projected outcomes; may prepare reports on impact to students and budget and may present to stakeholders on effectiveness and to secure funding for initiatives moving forward.
  • May serve on committees and perform student services research across the field of higher education and at peer institutions to identify and recommend best practices.
  • Plans and coordinates communications for student services initiatives to ensure student participation and engagement.

EDUCATION

Required
  • Bachelor's degree in public affairs, counseling, social work, education, business, or related field
Preferred
  • Master's degree in higher education student affairs or related field
WORK EXPERIENCE

Preferred
  • 2 years of relevant professional experience in event management, or related field. Information systems knowledge

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

In addition to typical office work, the Coordinator will engage in medium moving requirements, including moving boxes of supplies for programs, facilitating food service, and setting furniture for special events. The person in this role must be able to perform the essential functions with or without an accommodation.

Work Hours

This is a fully in-person position, with several instances of evening/weekend work required at a few high-volume times during the academic year.
