About the Department:

Development and External Affairs (DEA) supports SMU by securing funding for University priorities; by promoting meaningful involvement in the life and work of the University; by heightening international, national, state and local awareness of SMU; and by supporting the enrollment of a diverse and able student body.

DEA comprises the offices of Office of the Vice President, Annual Giving and Alumni Relations, Development Services, Program Services and Donor Relations, Marketing and Communications, Principal and Major Gifts, and School and Project Development.

About the Position:

This role is an on-campus, in-person position.

The Data Integration Specialist is responsible for creating and maintaining data automation processes for the Blackbaud CRM donor/alumni database (BBEC) and the PeopleSoft Campus Solutions student system (My.SMU), ensuring data integrity and accessibility to support Development and External Affairs initiatives.

This role serves as the primary resource for bulk updates of constituent records from various sources via designated tasks and special data augmentation and import projects.

The Data Integration Specialist will also analyze, troubleshoot, and resolve data management processes and conduct regular audit reports.

The position reports directly to the Assistant Director of Constituent Records, who oversees overall data integrity in Blackbaud CRM.

Essential Functions:

  • Manage the migration and maintenance of student, parent, and employee records between My.SMU (PeopleSoft) and Blackbaud CRM. This process includes, but is not limited to:
    • Analyze and extract records from My.SMU by modifying existing queries or creating new queries as needed.
    • Analyze, cleanse, and augment data using MS Excel, MS Access.
    • Load data into Blackbaud CRM using and configuring built-in system tools, such as Import, Global Change, and Zuri Group Velocity processes.
    • Regularly conduct audits to validate the data and ensure data quality.
  • Perform mass-updates on a regular schedule to biographic/demographic information, academic data, solicit codes, and life changes. This process includes retrieving data from various sources (web-based forms, NCOA, SMU Network, GiveCampus, My.SMU), analyzing and cleansing the data, and loading it in Blackbaud CRM.

  • Evaluate and streamline business processes, including data integration tools developed for data transformation (MS Access, MS Excel), as needed and where appropriate. Create and maintain related documentation. Communicate challenges, progress, and potential solutions with leadership.

  • Serve as a subject matter expert on data management and processing, provide insight on reported problems, and implement solutions, working with other IT teams as needed.

  • Collaborate on special projects in partnership with Project Management office. Prioritize and track assigned responsibilities. Duties may include simple or complex updates, research, analysis, and problem solving.
  • Participate in scheduled testing for Blackbaud CRM and My.SMU (PeopleSoft) relating to patches, upgrades, and enhancements.



Qualifications

Education and Experience:

A high school diploma or equivalent is required.

A minimum of five years full-time work experience, with at least two years of experience in data and/or records management is required.

Work experience in data automation and/or data validation preferred. Experience in non-profit or higher education desired. Familiarity with records life cycle is a plus.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills. A strong customer service orientation is essential.

Candidate must possess strong problem-solving skills and an aptitude for analytical thinking. The ability to assess and troubleshoot existing data management processes and implement appropriate solutions is essential. Familiarity with data governance preferred.

Candidate must have strong organizational, planning, and time management skills. The ability to work independently within a team environment and meet department goals and deadlines is required.

Candidate must have a strong working knowledge of MS Excel and the ability to write and troubleshoot formulas. Must also have experience with queries and be able to troubleshoot and modify existing queries. Experience using macros in MS Excel or experience with MS Access is strongly preferred.

Experience with PeopleSoft and Blackbaud CRM is preferred. Experience with Visual Basic, SQL, Python, Tableau or PowerBI is desirable.
